Yes. Moxcares is built on Google Cloud Platform with a HIPAA Business Associate Agreement covering all infrastructure. All patient health information (PHI) is encrypted at rest and in transit using Cloud KMS. Notification messages sent via SMS or WhatsApp contain no PHI — only a secure link. Audit logs of all PHI access are retained for 6 years as required by the HIPAA Security Rule. We sign a BAA with every clinic before they go live.
No. Moxcares is an administrative patient intake platform, not an FDA-regulated medical device. The AI collects and organises information the patient provides — it does not diagnose, recommend treatment, or make any clinical decision. All interpretation is done by your licensed clinician after reviewing the summary. This design keeps Moxcares outside FDA SaMD (Software as a Medical Device) classification. Our intended use statement: "Moxcares collects and organises patient-provided health history and symptom information for review by a licensed clinician prior to a scheduled visit."
Your patient data belongs to you. If you cancel, you can export all patient records and intake summaries as a CSV or via our API before your account closes. We retain data for 30 days after cancellation to allow for any disputes, then permanently delete it in accordance with our data retention policy. We recommend downloading a full export before cancelling.
Your card is collected when you sign up but not charged during the trial. You get full access to your chosen plan with a limit of 50 patient records. If you decide Moxcares is right for you, click "Activate Subscription" anytime to start your paid plan immediately. If you don't cancel before day 7, your subscription activates automatically. Cancel before day 7 and you won't be charged anything. No gotchas.
No app download required. Patients receive an SMS or WhatsApp link and tap it to open the questionnaire in their mobile browser. They verify their identity with their date of birth and last name, then complete the questionnaire. The experience is mobile-first and works on any smartphone. We deliberately avoided requiring an app — app download rates in healthcare are very low and create friction that kills completion rates.
Currently: DrChrono and Practice Fusion (Phase 1, all plans on Growth and above). Coming in Phase 2: athenahealth and eClinicalWorks. Coming in Phase 3: Dentrix and Eaglesoft for dental clinics. If your EHR isn't listed, you can use our CSV import to manage patients manually — available on all plans. We push intake summaries to EHRs as FHIR-compatible clinical notes.
Each questionnaire conversation and intake summary uses AI tokens. Your plan includes a monthly token allowance (500K on Starter, 3M on Growth, 10M on Practice). If you use more, overages are billed at the end of the month at your plan's rate — but only if you opt in to overage billing. If you haven't opted in, AI features pause when you hit your limit and you'll see a prompt to upgrade or enable pay-as-you-go. You'll also receive a warning email when you reach 80% of your monthly quota.
Yes. Moxcares provides pre-built templates for General Practice, Dental, Dermatology, and Physiotherapy. Any Owner or Admin can open a template in the configurator, add custom questions, remove or reorder existing ones, and mark fields as required or optional. You can preview the patient-facing experience before publishing. Templates are assigned per appointment type — your "New Patient Consult" can use a different template than your "Follow-up" appointment.
